What is IFTA?
The International Fuel Tax Agreement makes sure that jurisdictions are properly compensated for the use of their roads by heavy commercial vehicles while trying to reduce the administrative work for trucking businesses. Drivers and fleets are required to calculate and report fuel purchases per tax quarter. Carriers, like CloudTrucks, are required to report fuel use.
IFTA Stickers and Permits
When a driver onboards with CloudTrucks, they are emailed a temporary IFTA permit that is valid for 30 days. This temporary permit should be printed out by the driver and taped to the inside of the passenger's side windshield and should be removed once the permanent stickers are affixed.
The actual IFTA license can be found in your digital permit book in the app.
Your physical IFTA stickers will be mailed to you as soon as we receive them, which is usually within 14 days.
If your stickers are damaged, lost or otherwise need to be replaced, please reach out to the general support team to request replacements to be shipped.
Fuel Receipts and Reporting
Fuel Receipt Filing Deadlines for Drivers
- 1st quarter (January to March) : April 8
- 2nd quarter (April to June): July 8
- 3rd quarter (July to September) : September 9
- 4th quarter (October to December) : January 6
How to Upload Your Fuel Receipts in the CT App
Here is a short video that explains the process, and here are the steps for reference:
- Tap the "Report Fuel" button on the dark gray banner on your CloudTrucks Mobile app homepage.
- Choose "Upload Receipt." You can either:
- Scan a picture of the receipt.
- Select a photo already on your phone.
- Upload a file from your phone.
- Note: Please ensure the receipt picture is clear and legible, and captures all four corners.
- Tap "Continue" on the top right to fill in prompted details:
- Your truck.
- Purchase date.
- State of purchase.
- Price per gallon (e.g., $3.89).
- Number of gallons purchased (e.g., 200).
- Hit "Submit Report."
Fuel Receipt Submission Shortcuts!
- Anytime you buy discounted fuel through the CT Fuel Network, that purchase is automatically recorded so there is no need to submit your fuel receipt for that purchase.
- If you use the fuel discount card TCS, they will provide you with a quarterly fuel purchase record that you can forward to ifta@cloudtrucks.com.
Reviewing and Organizing Your Fuel Receipts
- After submission, you'll be redirected to a page showing all your fuel purchases, neatly organized.
- You can access past quarter's fuel purchases.
- The right-hand side displays when your next fuel report is due since CloudTrucks manages IFTA for all of our Virtual Carrier drivers.
Fuel and Distance Reports
Email ifta@cloudtrucks.com to request quarterly “Distance Summary” reports that list your truck’s total distance, total fuel usage, along with a list of jurisdictions travelled, distance and fuel. These reports are often requested by a IRP office or your bookkeeping and tax preparation service.
IFTA When You Offboard
CloudTrucks will continue to file IFTA for your mileage during the quarter you offboarded up until your account is closed.
