General Offboarding
What is the offboarding process? Offboarding begins when either party, CloudTrucks or the driver may terminate the agreement. Once termination is confirmed, your account is suspended, recurring deductions are paused, and a termination letter is issued outlining next steps and your obligations under the lease agreement. You will also receive a checklist of items to return before your escrow can be settled.
Who can initiate offboarding? Either CloudTrucks or the driver can initiate the termination of the agreement. There is no minimum tenure or maturity requirement, offboarding can occur at any point once either party decides to end the agreement.
What happens to my account after offboarding begins? Your account will be suspended and recurring subscription deductions will be paused. Note that you may lose access to your account portal after a period of time, so we encourage you to save or download any records (statements, ledger history) you may need before that occurs.
Equipment Returns
What items do I need to return? You are required to return all company-issued equipment, including:
- The trailer you’ve leased through CloudTrucks
- Electronic Logging Device (ELD)
- License plates
- Any other company-issued items specified in your termination letter
How do I return my trailer? The trailer must be returned to the designated yard location first, this is the most critical step. Contact your offboarding coordinator for specific drop-off instructions and to confirm the return location. Once the trailer is confirmed received at the yard, you will receive return labels for all remaining items.
How long do I have to return my equipment? CloudTrucks will send a FedEx label with which you can return your equipment. Once you receive your return labels via FedEx, you have 3 days to return all equipment (plates, ELD (including cords), placards, permits, and other items). Items not returned within 15 days may be reported as stolen and penalty fees will apply:
- ELD: $540 ($200 late fee + $340 liquidated damages)
- Trailer-related items : $200
- Plates : Price to be determined
Please return items promptly to avoid these charges being deducted from your escrow. Any legal fees incurred by CloudTrucks to recover these items will be charged back to the driver and subtracted from any escrow refund due to the driver.
What if I don't lease a trailer from CloudTrucks? If you do not have a trailer leased through CloudTrucks, your offboarding team will manage your return process manually. The same general steps apply, contact your coordinator to confirm what items need to be returned and receive instructions.
How will I know my equipment return has been confirmed? You will be notified once your trailer is confirmed returned. At that point, you will receive return labels for any remaining items. Keep any receipts or confirmation numbers from drop-offs for your records.
Escrow & Settlement
When does my 45-day escrow window begin? Your 45-day escrow settlement period begins only after CloudTrucks confirms receipt of all equipment, including your trailer, plates, placards, and ELD (including cords). This is consistent with your signed driver agreement, which states: "Escrow will be settled approximately 45 days after all items, including the trailer and ELD, are received and lease termination conditions are met."
When will I receive my escrow refund? Once all equipment is confirmed returned and all outstanding charges are reflected on your ledger, the 45-day countdown begins. Your escrow will be settled approximately 45 days from that confirmation date.
How will I receive my escrow payment? Escrow payments can be made via ACH direct deposit (2-3 business days) or by paper check mailed to your address on file (7-10 business days). ACH is strongly recommended for faster payment.
To receive payment via ACH, you must provide bank verification. Any of the following are accepted:
- Bank app screenshot (preferred): a screenshot from your mobile banking app showing your bank name/logo, account number, and routing number
- Bank statement: the first page of a recent statement showing your name, bank, and account/routing numbers
- Direct deposit authorization form: a pre-filled form available for download from most major banks (Chase, Bank of America, Wells Fargo, etc.)
- Voided check: if you have one available
A bank app screenshot is the fastest and easiest option for most drivers. Submit your verification as early in the offboarding process as possible to avoid payment delays.
What charges might be deducted from my escrow? Outstanding charges may include, but are not limited to:
- Tolls
- IFTA fees
- Repairs and maintenance costs that were advanced by CloudTrucks
- Insurance underpayments
- Any other lease-related costs outlined in your carrier lease agreement
All charges will be reflected on your ledger before your final settlement is calculated.
Important notice about charges during the offboarding period: Please be aware that certain charges, such as insurance premiums and trailer fees, may continue to accrue through the end of the calendar month in which you are offboarded. This is due to how automated billing cycles work. These charges will be reflected on your final ledger and may be offset against your escrow refund. If you believe a charge is incorrect, contact escrowinquiries@cloudtrucks.com.
What if I dispute a charge on my ledger? If you believe a charge is incorrect, email escrowinquiries@cloudtrucks.com with your name, driver ID, and a description of the disputed charge. The team will review the supporting documentation and follow up with you directly.
What if I've been waiting a long time with no update? If you've returned your equipment and have not received an update on your escrow status, email escrowinquiries@cloudtrucks.com and reference your return confirmation details. The team will investigate and provide a status update.
